Time Management Tip: Stop Micro-Managing Employees
If I was a fly on the wall what would I hear your employees say? Would it something like this? "They won't allow me to make even the simplest decisions." "The red tape here makes it very difficult for me to do my job." "Management has to sign off on everything; they don't trust me." A big time waster for managers is micro-managing - paying extreme attention to small details and not giving people the authority to do their job. If it is such a time waster why do so many managers get hooked into micro-managing? Here are some reasons. Top down mirroring.
The CEO or President micro-manages his or her direct staff. The staff then unconsciously adopts the same management style with their direct reports. The practice spreads, or 'mirrors' itself, and becomes part of the culture. Fear.
In today's difficult economy, managers live in perpetual fear that their department better produce or else. This fear drives them to micro-manage, rather than trust their employees to make the appropriate decisions. A wrong belief.
Many managers think success is based on amassing as much power as possible. They therefore do not allow their employees to make decisions by themselves because that would be giving up their own power. However, the more management allows employees to make decisions, the more powerful the entire organization will be. Here's what can be done to influence managers to focus their time, energy and resources on the important tasks of managing ? getting work down by and through others.
Start at the top.
Hire an executive coach to help the CEO learn to trust and delegate to subordinates. Managers will then likely follow suit with their own direct reports.Ask employees.
Use focus groups and individual interviews to learn from employees what decision-making authority they feel they need to do their jobs well. Then communicate this information to their supervisors.Put yourself in their shoes.
It is very easy for managers to lose perspective about what decisions their employees really need to make by themselves. Managers should ask themselves, what decisions would I need to make if I were doing that job?Train managers.
Delegating and trusting employees are all skills that can be taught. During the training, those few managers that ARE doing a good job of delegating should be asked to share their best practices and successes with others.

THE PERFORMANCE REVIEW MEETING: It's a fact - most supervisors and employees have negative feelings toward performance appraisals and appraisal interviews. It's often necessary to shift people's thinking from the perception that the interview is a time of judgment to the perspective that supervisors can provide support and direction to employees who want to improve their productivity and be involved in the process. Most employees, after all, wish to work effectively. Few can tolerate the notion of working poorly and ineffectively. The appraisal is an important time when supervisors and employees can come together and talk about how to improve performance.

Each time you or one of your work crews cruises down the road, people see the vehicle. It is logo'ed and that advertising is there to be noticed. If you cut some one off, believe me they will know who did it. They'll tell their friends and you'll be sorry. If you see a lady trying to pull out into bumper-to-bumper traffic, let her cut in. If you see a mom in her minivan with kids at a traffic signal, be courteous. Signal her with a pleasant hand motion to 'please go ahead of me.' Mouth the words also and as they pass salute her and wave at the kids or flash your head lights. You are such a nice guy or gal they'll think. With every one in such a hurry, it's refreshing to know the crews in your company vehicles still care. If you work in a big city with a population of 100,000 or more, your gesture will be remembered, recognized and appreciated even more. You see in a big city, you will be outside the norm. They will think you are from a far away city where people are still friendly.
Making Your Workers Your Partners
There is an inherent conflict between owners and managers of companies. The former want, for instance, to minimize costs - the latter to draw huge salaries as long as they are in power (who knows what will transpire tomorrow). For companies traded in the stock exchanges, the former wish to maximize the value of the stocks (short term), the latter might have a longer term view of things. In the USA, shareholders place emphasis on the appreciation of the stocks (the result of quarterly and annual profit figures). This leaves little room for technological innovation, investment in research and development and in infrastructure. The theory is that workers who are also own stocks will avoid these cancerous conflicts which, at times, bring companies to ruin and, in many cases, dilapidate them financially and technologically. Whether reality leaves up to theory, is an altogether different question to which we will dedicate a separate article.

Encourage and give managers time to attend leadership courses. Learning and growing is part of their job.
Develop an approach to hire and assess managers based on the above key competencies, not on old job descriptions.
Reward effective leadership on a regular basis whether it is through a "Manager of the Month" award or free movie tickets.
Get creative with training. Start peer coaching groups - managers with similar levels of authority meet once a month to discuss challenges in managing people, dealing with organizational politics, or other thorny issues.
Do short reviews every three to six months to catch performance problems before they blossom into big leadership headaches. When problems are identified, action plans should be put into place to rectify the issue before the next appraisal.
He Hate Me: Turning Their Bad Attitude Into Your Great Results
"He Hate Me" was the nickname of Rod Smart, a leading rusher in 2002 for the Las Vegas Outlaws of the now defunct XFL pro football league. Looking for an edge, the XFL allowed players to put nicknames on their uniforms. "I was always saying, 'he hate me,' all through camp in Vegas," Smart said. "If I didn't get the ball, I'd talk to the other running backs and say, 'he hate me, man; this coach hate me.' I was always saying that." Smart put He Hate Me on the back of his number 32 jersey, and now the name lives in lore even though XFL has been out of business for years.
The Compliance Officers Killer Application
It used to be that only the largest multi-nationals needed a Compliance Officer. Today most practices, regardless of size, would be wise to charge someone within their organisation with the responsibility of keeping abreast and managing the compliance process.Take as an example European employment law that has been introduced over the last few years that has changed the face of European businesses. Small businesses in particular are finding that a casual and informal approach to employment issues can now result in statutory fines that have no bearing on the financial health of the individual company and could, without as much as a by your leave, directly result in the demise of a company.Small to medium businesses do not often have the luxury of employing a full time Compliance Officer and although larger organisations can afford a dedicated person they are finding that with compliance issues mushrooming the Compliance Officer now has a team, a department and if not already, how long before compliance becomes a division? Regardless of size, the first step in compliance for any organisation requires them to identify the areas of compliance that are applicable to them. Rules and regulations are being introduced monthly on a local, regional, national and international level, covering everything from data protection and freedom of information, anti-money laundering to environmental waste control, race relations to health and safety; with ignorance being no defence there is a requirement on the individual businesses to know their responsibilities, and fines for those that wait to be told. Having identified the areas of compliance the company then needs to understand what they need to do to ensure they comply. It is becoming conceivable that with the shear volume of compliancy issues that companies who can show a good faith effort in complying will, even when they fall short, reduce the risks of fines.Having identified and understood the compliance issues the Compliance Officer needs to define and implement policy and disseminate the information throughout the organisation.It is important for the Compliance Officer that they do not inadvertently become the company's patsy. Senior managers are not averse to ignoring the internal memos they receive advising them of their responsibilities. Compliance Officers need to deliver their messages up and down the corporate food chain and record that their advice and directives have been received and more importantly understood.The Compliance Officer has to avoid becoming the company scapegoat. This won't happen by itself, a sales team that has a long history of success though a relaxed attitude to selling is not going to willingly adopt new, and what they will see as restrictive, practices without a fight. 'I didn't get the memo', 'I didn't understand it', 'I thought it meant something else', 'I thought these were only guidelines' are likely to be stock replies, along with the one or two old timers that didn't think compliance issues applied to them. It used to be a safe bet to blame IT, blame Compliance is rapidly taking its place.One valuable tool in the Compliance Officer's tool box is the online survey and questionnaire.The online survey can deliver a message internally to the individual; it can be informative like a memo and educational by referencing detailed policy. Importantly it can become a valuable self registering record that confirms that the information has been properly disseminated and understood.A single survey question can achieve all these objectives at the same time.Take an example:-Are you aware that section 45 of the Companies (Auditing and Accounting) Act 2003 imposes an obligation on directors of certain companies to prepare statements on their company's compliance with its relevant obligations? Assigning a Compliance Officer is a start but enabling them to fulfil their remit will be the difference between a company being fully compliant and one that risks suffering the consequences for having let compliance take a back seat.
